ADMINISTRATIVE ASSISTANT
FOUNDATION SUMMARY:
Established in 1984,
the Rita J. & Stanley H. Kaplan Family Foundation, Inc. is a private,
non-operating Foundation dedicated to enhancing the continuity of the Jewish
People and to supporting programs in Health, Medical Research, Education, the
Arts, and Social Justice/ Social Welfare.
POSITION SUMMARY:
The Foundation is
seeking a full-time Administrative Assistant for maintaining all administrative
aspects of the Foundation office. The Administrative Assistant also
provides administrative and support services for the Executive Director,
Program Director, and Board of Directors.
Because the Administrative Assistant is an important contact for other
foundations and grantees, good judgment, excellent communication skills and
development of a solid understanding of our work will also be critical. This
position reports directly to the Executive Director.
ESSENTIAL FUNCTIONS:
- Manage day-to-day office systems
(mail, phones, fax, office supplies) and troubleshoot office
equipment problems.
- Implement daily office
functions as needed – sort and prepare mail, prepare FedEx envelopes,
print labels, shred documents, etc.
- Update Foundation database
(FileMaker) – enter new proposals and new grant awards, update grantee
contact information, prepare lists, generate reports, produce
acknowledgment letters, scan grantee supporting documents, etc.
- Manage and update Foundation
paper files on an ongoing basis.
- Administer logistics and
assist in assembling materials for board meetings – copy documents,
set up/clean up, order food.
- Maintain office calendar.
- Maintain
lists and databases on Excel.
- Order
office supplies.
- Perform
other work related duties as assigned.
EDUCATION, EXPERIENCE & SKILLS REQUIRED:
Qualified applicants will have a Bachelor’s or Associate’s
degree and a minimum of one year’s administrative experience. Successful candidates will bring the
following qualities to the position:
- Outstanding
organizational, administrative and analytical skills, with excellent
attention to detail;
- A
strong interest in, and commitment to, the Foundation’s mission and
current grants programs;
- Solid
writing and editing abilities;
- The
ability to be a self-starter who assumes hands-on responsibility where
necessary, is able to balance competing priorities and deadlines, and who
demonstrates sound judgment, an ability to anticipate, and good problem
solving skills;
- Excellent
communication skills, with the ability to relate effectively to potential
grantees and other non-profit professionals, staff, Foundation board
members and consultants;
- Computer
literacy, including MS Word, Excel, PowerPoint – knowledge of FileMaker a
plus; and
- Solid
people skills, an enthusiastic and collaborative approach to work, self-confidence,
a good sense of humor and the ability to communicate well across cultures.
